Founded in 1978 and headquartered in New York City, SAGE is a national organization that offers supportive services and consumer resources to LGBTQ+ older adults and their caregivers, advocates for public policy changes that address the needs of LGBTQ+ older people, provide education and technical assistance for aging providers and LGBTQ+ organizations through its National Resource Center on LGBTQ+ Aging, and cultural competence training through SAGECare.
Job Summary: The Human Resources Operations Manager will handle day-to-day tasks, including planning and coordinating payroll, HRIS systems & benefits administration workflows, and enforcing company policies and practices in consultation with the Senior Director of Human Resources and Chief People and Culture Officer.
Essential Functions:
Payroll Administration
- Manage and input employee compensation, taxes, work hours, PTO, etc.
- Oversee and process payroll checks, W-4s and direct deposit information
- Prepare relevant weekly, monthly, quarterly, and year-end reports. Provide compensation reports and trend data
- Monitor the accurate processing of staff new hires, transfers, promotions, salary increases, and terminations
- Adhere to and stay current with compensation and payroll employment, income tax laws, regulations, legislation, and operating guidelines
- Correspond and manage relationships with vendors, customers, and employees
- Partner with Finance Department to review the payroll registry to ensure accuracy
- Support and guide internal and external audits related to payroll
Benefits Administration
- Oversee, monitor, and administers health and welfare plans, including enrollments, changes, carrier correspondence, and terminations
- Process required documents through payroll and insurance providers to ensure accurate record-keeping and proper employee contributions
- Reconciles benefit plan and other invoices managed through HR and arranges for payment via agency process
- Manage open enrollment process, including co-facilitating staff open enrollment sessions
- Oversee the accurate processing of benefits related to staff new hires, transfers, promotions, salary increases, and terminations
Recruitment
- Assist with the talent acquisition process, in consultation with the Sr. Director of HR, which may include recruitment, interviewing, and hiring of qualified job applicants
- Source potential candidates from various online channels (e.g., Indeed, Smartsheet, and professional platforms)
- Scheduling Interviews with candidates (via video or in-person)
Onboarding/Offboarding
- Arrange and conduct New Hire Orientation meetings and processes
- Conduct and facilitate employee benefit onboarding and offboarding processes
- Process and complete I-9 Forms and documentation; maintain I-9 files
Compliance & Regulations
- Maintain compliance with federal, state, and local employment laws and regulations; recommends best practices; reviews policies and practices to maintain compliance
- Produces EEOC, NY Pay notice, DOL, and others as assigned, reports, and submits to the appropriate authority
- Maintains separate files for I-9s and medical records
- Conducts or assists with electronic and non-electronic HR records audits to ensure completeness and compliance as the Sr Director of HR
Performance Evaluation
- Develop efficient systems for collecting information on performance and preparing materials for the performance review for the Chief People of Culture Officer
- Demonstrated willingness to engage in professional development activities to develop and improve new and current skills and adapt to the organization’s evolving needs
Employee Relations
- Provides advice and counsel to supervisors on employee issues related to compliance with regulations and laws
- Providing ongoing employee support, including counseling employees regarding wage issues, timekeeping, and attendance issues
Required Skills/Abilities
- Senior HR generalist experience
- Experience with multi-state payroll
- Experience with ADP Workforce, a plus
- Thorough knowledge of benefit employment-related laws and regulations
- Experience working for a national organization with employees in multiple states
- Experience with California state employment regulations a plus
- Excellent verbal and written communication skills
- Excellent interpersonal, negotiation, and conflict-resolution skills
- Excellent organizational skills and attention to detail
- Strong analytical and problem-solving skills
- Ability to prioritize tasks and to delegate them when appropriate
- Ability to act with integrity, professionalism, and confidentiality
- Proficient with Microsoft Office Suite or related software
- Proficiency with or the ability to quickly learn the organization’s HRIS and talent management systems
Education and Experience:
- A minimum of five to ten years of human resource management/HR generalist experience is required
- Experience working for a national non-profit is preferred
- Experience working for a social service agency that provides direct services is a plus
- Familiarity with issues faced by LGBTQ older adults and desire to support SAGE’s vision and mission
- Bachelor’s degree in Human Resources, Business Administration, or related field required
Reports to: Chief People and Culture Officer
Status: Full-time / Exempt / Salaried
Salary Range: $75k-$85k
Location: SAGE National Headquarters in Midtown Manhattan
Schedule: A minimum of 35 hours/week, Monday to Friday, 9:30 AM – 5:30 PM. This position is a hybrid role (2-3 days/week and more often as required)
