Office Assistant

SAGE is the world’s largest and oldest organization dedicated to improving the lives of lesbian, gay, bisexual, transgender, and queer or questioning (LGBTQ+) older people. Founded in 1978 and headquartered in New York City, SAGE is a national organization that offers supportive services and consumer resources to LGBTQ+ older adults and their caregivers, advocates for public policy changes that address the needs of LGBTQ+ older people, provide education and technical assistance for aging providers and LGBTQ+ organizations through its National Resource Center on LGBTQ+ Aging, and cultural competence training through SAGECare.

Specific Roles/Responsibilities Include:

  • Responsible for opening and closing SAGE Headquarters for up to three days/week
  • Process invoices, check requests, and reconcile credit card expenses
  • Procure goods and services for all NYC sites, including office furniture and supplies, business cards, and occasionally food services
  • Assist with onboarding and off-boarding employees, interns, temps, and consultants to ensure inventory and integrity of agency property and resources
  • Assist the Finance Department with contract compliance and application completion
  • Coordinate and execute seating plan and other logistics for in-person meetings including room setup
  • Oversee office and conference room online reservation system and arrange employee workstation allocation
  • Manage incoming and outgoing postal mail and parcels; sort and distribute
  • Oversee office supply and shipping accounts (Staples, FedEx, etc.)
  • Maintain office equipment and coordinate upkeep and repairs (copier, printer, postage machine, etc.)
  • Manage incoming voicemails and route them to the appropriate party
  • Maintain facility-related permits, licenses, and certificates
  • Assist with the management of onsite and offsite file storage and SAGE’s archive

Required Skills/Qualifications:

  • Ability to move 15 pounds
  • Strong written and verbal communication skills
  • Strong organizational skills with an ability to manage and prioritize multiple tasks
  • Demonstrates resourcefulness, critical thinking, and sound judgment
  • Ability to work independently, manage and prioritize multiple diverse projects simultaneously
  • High level of attention to accuracy, detail, organization, and follow-through
  • Excellent computer skills, including MS Office Suite (Excel, Word, Outlook, Teams) and ability to learn new systems that may be appropriate to this position
  • Hold a NY Notary Public certification or acquire it within three months of hire
  • Hands-on experience with office equipment (e.g., copier, printer, etc.)

Reports to: Director of Facilities and Office Services
Status:
Full-time, Non- Exempt
Location:
SAGE National Headquarters in Midtown Manhattan
Schedule:
35 hours/week, Monday-Friday, 9 am-5 pm; 3 days onsite, which may vary in accordance with business necessity
Salary range: $39,528-$49,410
