Database Manager

Reporting to the Senior Director of Development, the Database Manager plays a key role in the successful operation of an evolving Development Department which includes: Individual Giving (Major Gifts, Planned Giving and Membership) Institutional Giving (Foundation and Corporate) and Events. Supervise Development Associate and Development Intern(s).

Position Requirements

  • Blackbaud NetCommunity experience preferred
  • Extensive experience with Raiser’s Edge database, preferably at the expert level
  • Ability to understand internal business processes and how they relate to functionality within Raiser’s Edge
  • Experienced in creating and maintaining Crystal Reports
  • Skilled in a PC Office environment
  • Effective management and multi-tasking skills and ability to function in fast-paced environment.

Position Responsibilities

Data Management:

  • Manage daily operations of the Raiser's Edge database to ensure its effective use in a wide range of development activities.
  • Train all new development staff in Raiser's Edge policies and procedures.
  • Act as development expert regarding Raiser's Edge and other development-related IT functions and applications.
  • Account for the quality and architecture of Raiser's Edge data and processing standards.
  • Special Events Support: Generates guest lists for event registration; provides on-site registration support, including liaison with accounting to accommodate cash and credit card transactions.
  • Maintain a consistent policy for receiving all incoming development gifts and gift handling procedures.
  • Documentation: Maintains detailed documentation of internal business processes and workflows related to appeals, mailings, events, gifting, etc., and updates documentation as processes are added, changed or modified.

Web Content Management and E-Communications

  • Use Blackbaud’s Spark interface to create web pages and forms for online donations and event registration.
  • Create templates and emails with graphical component for e-communications, including solicitations, event invitations, and SAGE updates.


  • Generate fundraising and revenue reports around board giving, performance vs. projections, constituency, event, and other ad-hoc reports and queries.
  • Generates recurring reports including monthly and quarterly gift detail for Accounting; call lists for Development Department; mailing lists for e-newsletter and calendar distribution, and others.
  • Work with each fundraising division to accurately report deposited revenue.
  • Ensure that data provided to outside consultants and vendors is accurate and consistent.
  • Documentation: Maintains detailed documentation of internal business processes and workflows related to appeals, mailings, events, gifting, etc., and updates documentation as processes are added, changed or modified.

Direct Mail

  • Creation of and final check of accuracy of any list being used outside the organization, e.g.; invitations, donor lists, lists being used for stewardship activity.
  • Responsible for all data manipulation for direct response program, including lists and coding for all online, direct mail and telemarketing efforts as well as all in-house work in this program.
  • Generate data/address lists/files for marketing, invitations and solicitations.
  • Co-ordinate volunteers for the preparation of mass mailings

Gift and Data Processing:

  • Supervise Development Associate
  • Manage and execute donor and gift entry for donors in an accurate and timely fashion
  • Produce daily batch reports to keep development team apprised of new donations.
  • Generate data/address lists/files for marketing, invitations and solicitations.
  • Produce and mail acknowledgment letters.
  • Manage all address changes and processing in Raiser's Edge; import NCOA information into Raiser's Edge.
  • New constituent records in Raiser’s Edge.
  • Track all incoming stock gifts and wire transfers in Raiser’s Edge.

Financial and Information Systems:

  • Serve as the development liaison with Finance and IT.
  • Complete monthly, quarterly and yearly development revenue reconciliation with Finance.
  • Act as liaison with Blackbaud for all Raiser's Edge-related activities.
  • Manage procedural integration of development systems with other systems including electronic payment systems and the Website.
  • Act as primary development contact for yearly financial audit.


  • Oversee miscellaneous development-related activities and requests, ie batch filing, charity watchdog registrations and updates, and other administrative tasks as assigned.
  • During events, when registration or monetary transactions are present, ensure that ample resources are in place to staff and equip these tasks.
  • In coordination with the Development Associate, ensure that the Development Department has the resources to fundraise, coordinate development resources including office supplies, volunteers for mailings and other projects, etc.
