Administrative Assistant to the Finance Administration
SAGE is America’s oldest and largest non-profit organization dedicated to improving the lives of LGBTQ+ older adults. SAGE is a national organization with 105 employees, 4 NYC offices, as well as employees located in several cities throughout the US.
The primary functions of the AC are (1) to perform administrative tasks in support of the Finance Department, including but not limited to provide administrative support for the To The Chief Financial and Administrative Officer and the Chief People and Culture Officer in addition to providing general logistical and administrative support to the Finance and Administration Department.
Reports to: Chief Financial and Administrative Officer
Location: SAGE National Headquarters in Midtown Manhattan
Status: Full-time, Exempt, Salaried position
Schedule: Generally, 9:30 – 5:30, Monday-Friday; regular schedule variances to occur in accordance with program or business necessity;
Essential Functions
- Recordkeeping: Documentation and filing, in both hard copy and digital forms, must be kept to an “audit-ready” standard. Manage the approval and signature process for various contracts.
- Scheduling: Manage the schedule and travel arrangement for the CFAO, CPCO, and meetings with various Board Committees and external vendors as well as departmental meetings.
- Administrative Support: Managing the departmental reconciliation of departmental purchasing and corporate credit cards.
- Other tasks and duties: Managing office supplies and related items for the department, providing front desk support,
Job Duties
- Manage the schedule of reception for the main office so that the front desk is adequately covered for external phone calls and voice messages to the organization’s main number.
- Manage the schedule opening and closing of the site
- Provide occasional support to facilities in distribution of incoming mail.
- Assist the CFAO, CPCO in special projects including presentations, and maintenance excel reports, etc.
- Assist in the scheduling of departmental and various meetings.
Qualifications
- Demonstrated work experience in similar salaried position involving equivalently complex data management and other pertinent tasks
- Bachelor’s Degree preferred but not required
Knowledge, Skills, and Abilities
- Strong written, proofreading and verbal communication skills.
- Computer-literate, with fluency in MS Office Suite, with particular emphasis on Excel (must be at least an intermediate user).
- Self-starter with good organizational and time management skills.
- Ability to work under own initiative and as a member of a team.
